Privacy policy

Last updated

This policy explains what personal information nocfinder collects when you use this website and the nocfinder app, why, who processes it for us, and the choices you have. It is written to meet Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec’s Act respecting the protection of personal information in the private sector (Law 25).

Who we are

nocfinder is a sole proprietorship registered in canada. The owner of nocfinder is the person in charge of the protection of personal information. You can reach them at findernoc@gmail.com with the subject line “Privacy”. Business details are on our About page.

What we collect

Information you give us

  • Account details: your name, email address and profile picture when you sign in.
  • Profile details you choose to add: phone number, country, province or state, and city.
  • What you submit for matching: job titles, job duties, letters and job ads you upload (PDF or Word), workbench cases, and the results we return. These can include your employer’s name or other details about your work. If you are a consultant, they can include your clients’ information.
  • Consultant requests: if you ask to be put in touch with an immigration consultant, your name, email, phone number (optional), where you are, your message and the NOC you were looking at, with your consent.
  • Messages to us: what you write when you email us.

Information collected when you use nocfinder

  • Payments: Stripe processes your card. We receive your plan, payment status, billing country and the last four digits of your card. We never see or store your full card number.
  • Technical logs: errors, browser type and IP address, kept by our hosting provider to run the service and keep it secure.
  • Website statistics: only if you accept analytics cookies (see Cookies and analytics).

How we use it

  • To match your duties to NOC codes and show you the results and your search history.
  • To run your account, sign you in securely and keep track of your plan and search credits.
  • To process payments, send receipts and handle refunds.
  • To answer your questions and send important account or service emails.
  • To put you in touch with a licensed immigration consultant, only when you ask for it.
  • To fix errors, prevent abuse and improve the accuracy of our matching.
  • To meet our legal obligations, for example keeping tax records.

We don’t sell your personal information, and we don’t use it for advertising.

AI processing

To suggest NOC codes, the job titles, duties and files you submit are sent to the AI model providers we use. They process the text for us under their business terms and don’t use it to train their models. Files you upload are kept in private storage that only you can open from your account. Avoid including information you don’t need for the match, such as identity numbers, health details or immigration file numbers.

The results are suggestions. You decide which NOC code to use. See our Terms of use.

Storage outside Quebec and Canada

Most of our service providers store and process data in the United States. Your information may therefore be subject to the laws of that country, including access by authorities there. Before using a provider outside Quebec, we assess whether the information will receive adequate protection.

Cookies and analytics

  • Necessary cookies keep you signed in to the app and help Stripe prevent payment fraud. They can’t be turned off.
  • Analytics (Google Analytics) are off by default, on this website and in the app. They only load if you choose “Accept” in the cookie banner. Your choice applies to both. You can change it any time with the “Cookie settings” link at the bottom of every page.
  • How you found us: if you accept analytics cookies, we also keep a small first-party cookie (nf-src, 90 days) with the website that sent you to nocfinder (for example a search engine), the first page you opened and any campaign tags in its link. If you create an account, we save it with your account so we know which pages and channels bring people who use nocfinder. Choosing “Decline” removes it.
  • We use no advertising cookies, on this website or in the app.

How long we keep it

  • Account and search history: while your account is open. When you close your account or ask us to delete it, we delete it within 90 days, including from backups as they cycle.
  • Uploaded letters and job ads: until you remove them or close your account.
  • Consultant requests: up to two years, unless you ask us to delete them sooner.
  • Billing records: six years, because Canadian tax law requires it.
  • Emails with us: up to two years after the conversation ends.

Your rights

You can ask us to:

  • See the personal information we hold about you and how it has been used or shared
  • Correct information that is inaccurate or incomplete
  • Delete your account and the information linked to it
  • Withdraw your consent, for example to analytics
  • Receive your information in a structured, commonly used format

Email findernoc@gmail.com with the subject line “Privacy”. We reply within 30 days and may ask you to confirm your identity first. If you are not satisfied with our answer, you can contact the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada.

Security and incidents

Data is encrypted in transit, access to it is limited to what is needed to run nocfinder, and sign-in is handled by a dedicated provider. No system is perfectly secure. If a confidentiality incident creates a risk of serious injury, we will notify you and the Commission d’accès à l’information, and keep a record of the incident as the law requires.

Children

nocfinder is not meant for people under 16, and we don’t knowingly collect information from them.

Changes and contact

If we change this policy in a meaningful way, we will update the date at the top and tell account holders by email before the change takes effect. Questions or requests: findernoc@gmail.com.
